FINANCE AND ACCOUNTS MANAGER

YELLOW DOG FLYFISHING SEEKING FULL-TIME FINANCE AND ACCOUNTING MANAGER

Yellow Dog – one of the largest and most-established fishing travel and booking agencies in the industry – is seeking a full-time, experienced and professional finance and accounting manager to join the team. Based out of the Bozeman, Montana headquarters of Yellow Dog, the finance manager will collaborate with the executive management team to prepare, examine and analyze company finances, and to develop budgets to ensure the company is growing and meeting its goals.

About the Position:

As the Yellow Dog Flyfishing Accounting Manager, you will supervise, monitor and evaluate all day-to-day accounting activities. In addition, you will develop and implement systems for collecting, analyzing, verifying and reporting financial information. As the financial lead of Yellow Dog, you will manage the finance department and associated operations such that account management, reporting, and interdepartmental and vendor relations are managed to optimize profitability and efficiency for the company.

The ideal candidate will exhibit professionalism and trustworthiness in handling all financial and confidential information and company funds. They will have excellent communication and negotiation skills, as well as the ability to work independently and with a variety of personalities and team members.

Key Responsibilities:

  • Oversee, monitor, analyze and manage all aspects of finances for YDFA, including budgeting, administration, and general operations, ensuring timely, consistent and accurate reporting
  • Oversee accounting daily operations and manage accounting team members
  • Set up and monitor accounting KPIs
  • Develop comprehensive reporting package to provide visibility into the monthly results, including monthly, quarterly and annual financial statements
  • Adhere to proper accounting methods, policies and principles
  • Oversee accounts payable, accounts receivable and payroll processes
  • Oversee quarterly and annual tax preparation and audit in partnership with third party agency
  • Manage the annual budgeting process and coordinate with executive leadership for inclusion in key financial modeling
  • Develop and oversee job cost budget system to evaluate gross profit on all products
  • In conjunction with executive leadership, develop comprehensive Policies and Procedures to ensure compliance with company objectives and safeguarding of assets
  • Oversee and review policies for program invoicing, payments, fund transfers and audits of country specific programs and keep all databases up to date with the most current information.
  • Oversee the relationships between banks, credit lenders and credit cards to ensure necessary capital and lines of credit are available for business use.

Requirements and qualifications:

  • Direct work experience executing similar responsibilities outlined above
  • 3+ years of experience in accounting, financial analysis, and related roles
  • Understanding and knowledge of current accounting principles, practices, standard, laws and regulations
  • Solid financial reconciliation experience
  • Excellent communication skills
  • Excellent knowledge and experience with accounting software, databases and advanced Excel spreadsheet skills including the use of advanced formulas and tables
    • Preference given for QuickBooks and Salesforce program experience
  • Prior experience analyzing and synthesizing data and presenting conclusions to leadership
  • Exceptional attention to detail and trustworthiness, with an ability to discover and remedy discrepancies
  • A sense of camaraderie and the ability to thrive in a team environment
  • BS degree in Accounting or Finance preferred, but not required

Office Manager Position


Yellow Dog is seeking a part-time Office Manager to oversee the day-to-day operations of our Bozeman, Montana office environment. This position can be 20-25 hours per week, with the responsibility to make sure that the office runs efficiently and that employees have what they need to be successful. This position will also directly manage Yellow Dog’s administrative and support staff.

Office Manager – Salary and Compensation

Office Manager – Job Description
The Office Manager position at Yellow Dog Flyfishing Adventures is a key leadership position for the company. The Office Manager will report directly to the company Director of Operations and will work closely as a part of the company management, policy, and leadership team. The roles and responsibilities of the Office Manager will include the following:

Office Management

  • Oversee and manage company administrative team and all program assistants. Work with the Director of Sales to establish best working practices and to strengthen the relationship between all team members.
  • Schedule regular check-ins and updates with administrative team and program assistants (quarterly).
  • Manage the Yellow Dog employee and team member calendar and monitor vacation/sick days/out-of-office days for all employees.
  • Be the primary contact and manager for all office needs and company infrastructure, to include phone systems, company cell phones, computers, servers, software, company and office insurance.
  • Manage office facility services, to include lawn care services, snow removal services, weather mat delivery, sprinkler set up and winterization.
  • Manage of Yellow Dog corporate and business accounts, to include AirBnb account, airline accounts, domain registrations, FedEx, Authorize.net and more.

Company Events

  • Schedule office events and be the primary point of contact for company event planning, meetings, staff retreats, annual Christmas party, and other company and business-related occurrences. Assist with planning and agenda for Yellow Dog off-site workshops and team meetings.
  • Assist with project management and establish and manage deadlines for major company projects such as the annual catalog and winter consumer shows circuit.
  • Manage and source Yellow Dog logo products and custom-imprint items.

Human Resources

  • Coordinate and oversee recruitment and staffing logistics, and assist with organizational space planning.
  • Coordinate employee orientation and training, and create and maintain employee personal files.
  • Administer various human resource plans and procedures for all organization personnel; assist in the development and implementation of personnel policies and procedures; prepare and maintain the employee handbook and the policies and procedures manual.
  • Maintain company organizational charts and employee directory.
  • Maintain compliance with federal, state and local employment and benefit laws and regulations.

Salesforce/IT

  • Primary contact for YD Salesforce implementation and program development
    • Create and manage changes to the system
      • Manage relationship with programmers and applications and implement company changes as needed
      • Implement new features and capabilities of system as YD continues to grow and evolve
      • Gather requirements from end users
    • Maintain system, security and integrity
    • User assistance, training, adoption and satisfaction
      • On-going training and check-in with each team member
      • Communicate regularly with user base regarding new features, enhancements and changes to the systems
    • Data Quality, Migration and Maintenance
      • Monitor neglected Leads, Opportunities, Accounts and Contacts as appropriate

Belize Program Manager

Yellow Dog – one of the largest and most-established fishing travel and booking agencies in the industry – is seeking a full-time, experienced and professional program sales director to lead and manage the company’s Belize program. Based out of the Bozeman, Montana headquarters of Yellow Dog, this sales position will collaborate with the saltwater sales team to sell, arrange and support client trip to our 17+ destinations in Belize, while also overlapping in a support role with our Bahamas, Yucatan and Christmas Island programs.

About the Position:
As the Yellow Dog Flyfishing program director and sales lead for Belize, you will manage and oversee day-to-day sales, marketing and client communications pertaining to our Belize offerings, and also assume the direct management role for the lodges, guides and outfitters that we work with and represent in the region. (Existing Belize lodges and operations that will fall under the program direction of this position include El Pescador Lodge, Victoria House, Tres Pescados Ambergris, Sea Dreams Hotel Cay Caulker, Chasin’ Tail Cay Caulker, Belize River Lodge, Long Caye Outpost, Tarpon Sands, Turneffe Flats, Turneffe Island Lodge, The Rising Tide Live-Aboard, Copal Tree Resort, Garbutt Brothers Lodge, Turtle Inn, Belize Permit Club, Blue Horizon Lodge, Thatch Caye Lodge, Captain Eworth Garbutt Placencia.) The ideal candidate will exhibit excellent communication and writing skills, and a high degree of attention to detail.

Key Responsibilities:

  • Responsible for running and managing trips pertaining to Belize, as well as assisting with Yucatan, Bahamas, Baja, Christmas Island, Honduras and other areas as specified on a case-by-case basis.
  • Contribute to overall and standard office duties, including phones, client relations, customer service, messages and organization of day-to-day operations.
  • Handle all Yellow Dog customers and potential customers and leads in a professional, friendly and courteous manner and field all phone calls relating to Belize destination inquiries while assisting clients in choosing the best lodge or destination.
  • Directly communicate with Belize lodges / outfitters for available trip dates and confirm all reservations.
  • Create initial trip invoices, direct completion of initial pre-trip planning packets, and proof and approve all trip itineraries.
  • Enter all leads and completed/confirmed trips into SalesForce database.
  • Communicate with lodges regarding all client concerns and requests.
  • Follow-up on all Belize trips with pre-travel and post-trip calls to clients.
  • Review Yellow Dog’s current Belize program offerings, and propose updates, changes to current line-up, edits to existing offerings and other ideas and options for improving Yellow Dog’s overall Belize program line-up.
  • Work as part of the three-person saltwater team to sell and assist with an overall saltwater program that includes Belize, the Yucatan, Bahamas, Baja, Christmas Island and Honduras.
  • Organize, approve and update web information, photos, rates, etc. on a regular basis for each Belizean operation featured on the Yellow Dog website.
  • Maintain, edit and update pre-trip guides for Belize, as well as addendums for select program destinations.
  • General office work day of 9:00 AM to 5:00 PM, Monday through Friday.

Requirements and Qualifications:

  • Direct work experience executing similar responsibilities as outlined above.
  • A background in saltwater fly fishing and a general knowledge of Belize.
  • Excellent communication and writing skills.
  • Program director will research and visit key Yellow Dog lodges throughout Belize as well as potential new lodges throughout the region that can further enhance Yellow Dog’s destination offerings
  • Provide information, updates, specials and other information pertaining to Belize territory for social media posts and inclusions in regular Yellow Dog newsletters and mailings.
  • Be willing to work and attend at least 2-3 winter consumer shows or events each season to promote Yellow Dog’s travel services and the saltwater program offerings.
  • Preference given for QuickBooks and Salesforce program experience.

Salary Range:

Monthly base salary (dependent on experience) plus commissions on all program sales.

Program Assistant

Yellow Dog Flyfishing Adventures is looking for a meticulous communicator, detail-oriented, customer service-focused person to join the Yellow Dog team as a Program Assistant.

COMPANY DESCRIPTION
Yellow Dog Flyfishing is a hands-on, specialty travel and fly fishing destination company that delivers the finest “insider” knowledge that customers need to find, book and arrange the perfect fly fishing vacation. Yellow Dog Flyfishing Adventures represents over 200 lodges and outfitters around the globe. Yellow Dog plans and books high-end angling and vacation packages, providing clients with exceptional expertise, planning materials and customer service from start to finish.  With an office location in the heart of downtown Bozeman, Yellow Dog offers a high-energy, fast-paced work environment and the opportunity to work with an exceptionally friendly and cooperative group of travel and fishing professionals. 

DUTIES

  • Generate travel itineraries and trip planning paperwork with accuracy and attention to detail
  • Enter data into Salesforce database system with accuracy and assist in regular maintenance of Salesforce system
  • Track the trip planning process, from pre-trip planning details to post-trip feedback.
  • Assist with managing complex logistics
  • Provide customer support via phone and email, including answering incoming company phone calls
  • Maintain a professional and customer service focus when communicating with clients, vendors and partners
  • Act as a liaison between clients and our 200+ partners/lodges
  • Work with the Program Directors to maintain customer service goals
  • Provide assistance with general day to day operations of Yellow Dog office
  • Periodically participate in events and projects outside of business hours

EXPERIENCE / SKILLS

COMPENSATION

  • Compensation is dependent on experience
  • Position will have a three-month probationary period during which compensation is hourly. At the end of the three-month probationary period, a review meeting will take place to discuss transitioning to salaried position.

We are an energetic and collaborative office, and we value people who work hard, are fun to work with, and have a positive impact on those around them. Position is 40 hours per week, M-F, between 8am – 5pm (with some flexibility).
